How to create, send, and manage birthday rewards for loyal customers in the Cluby Partner Hub.

Rewarding your loyal customers with birthday rewards is an effective way to enhance customer loyalty and encourage them to return to your restaurant.

  1. Log in to Partner Hub

    • Select "Rewards" from the side navigation menu.​

  2. Create your first reward

    • Click on "New reward".​

    • Choose "Birthday gift" as the reward type.​

    • Select the location from the dropdown menu ("Available to").​

      • If you have multiple locations, choose the restaurants where the birthday rewards will be available.

        Note! The "Available to" dropdown menu will only appear if the company has multiple locations listed in Cluby.

      • If the recipient is a loyal customer at the selected restaurant, they can redeem the gift there.

      • If they are loyal customers at multiple restaurants, they can redeem the reward at any of those locations.

      • You can create different birthday rewards for loyal customers of different restaurants.

  3. Add a message and description

    • In the "Message to recipient" field, write a clear description of the birthday reward.​

    • Provide the reward description and message in both Finnish and English.​

  4. Add an image

    • Upload an image of the reward by clicking "Upload photo".

    • We recommend using an image that is 1500 x 900 pixels.​

  5. Set the gift validity period

    • Choose the reward's validity period from the dropdown menu. The reward can be valid for 7, 14, 30, 60, 90, or 180 days from the moment the user receives the gift.​

    • The user will receive the reward on the morning of their birthday.​

  6. Notifications and communication

    • The user will receive a push notification when the reward arrives.​

    • The message will also appear in the mobile inbox and as an in-app pop-up notification.​

    • If the user is a member of multiple locations, the notification will come from the restaurant they joined first.​

  7. Editing the gift or reward

    • You can edit the reward before it has been given for the first time.​

      • What can be edited:

        • The description and message can be updated.

      • What cannot be edited:

        • The name of the gift product cannot be changed after the first distribution.

    • You can set the reward to inactive, so it will no longer be automatically distributed to new birthday celebrants.​

    • Those who have already received the reward can still redeem it.​

    • If you want to create a new reward or replace the existing one, you need to create a new reward.​

  8. Save and publish

    • Remember to save and publish the birthday reward.​

  9. Tracking and reporting

    • Monitor the usage of the gifts in the "Rewards" report.​

    • The report shows:​

      • Rewards given in the last 30 days: how many users have received the gift or reward in the last 30 days.

      • Rewards redeemed in the last 30 days: how many users have redeemed the reward in the last 30 days.

    • Note: If you have multiple different rewards, they all appear in this report.
