Before you start
Have these ready:
A Cluby Partner Hub account with permission to manage the venue
An event cover image — you can either upload your own or pick one directly from the Partner Hub image gallery (16:9 ratio, recommended 1500×900 pixels, max 10 MB)
The event basics: title, description, start and end time
Pricing: entrance ticket price and cloakroom price (if applicable)
1. Open Events and tickets
From the left sidebar, go to Events and tickets. Click Create new event.
The event creation opens as a three-step flow: 1. Basics → 2. Tickets → 3. Review.
Step 1: Basics
Fill in the basic details:
Event title — e.g. "Friday Night Live Music"
Description — describe the event for attendees in an engaging way. This appears to customers in the Cluby app.
Start time and End time
Event image — 16:9 ratio, max 10 MB. You can either upload your own image from your computer or pick an image directly from the Partner Hub image gallery (free Unsplash photos).
Event URL (optional) — a dedicated webpage for the event
Facebook event URL (optional)
💡 Tip: The image gallery is a quick way to find a quality photo when you don't have one of your own. The search field is filled automatically based on the event title — you can refine the search to find the best match. For more details: How to add an image from the Partner Hub image gallery
Click Next.
Step 2: Pricing & tickets
Choose the event type and prices.
Event type
Paid event — you sell tickets
Free event — free entry (see the separate guide)
Ticket sales
Tickets available on Cluby — Cluby acts as your ticket sales platform; sales go through the app
Tickets not sold through the app — you sell tickets elsewhere, Cluby is used only to promote the event
Prices
Entrance — Price + VAT (default 10.5%). You can also set a Max per buyer limit.
Cloakroom — Price + VAT (default 25.5%), if applicable. You can offer a separate cloakroom ticket, sold either alongside the entrance ticket or on its own.
Ticket transfers
By default the Ticket transfers setting is on: "Allow users to transfer tickets between each other". This means your customers can transfer their purchased ticket to another person directly from the Cluby app — with no extra action required from the venue.
💡 We recommend keeping this on. Allowing transfers improves customer satisfaction when the original recipient changes (a friend can't make it, someone falls ill, etc.).
⚠️ You can turn the toggle off if you want to block transfers.

Step 3: Review and publish
Take one more look at everything. Click Publish — the event appears in the Cluby app immediately and ticket sales open.
Managing ticket availability afterwards
Once you've sold the number of presale tickets you wanted, open the event in the edit view and:
Set the event to "Sold out / tickets available at the door"
Or close sales completely by removing the ticket type from view
💡 Tip: You can edit event details at any time — also after publishing. Customers who've bought tickets will see the updates automatically.
