A digital Stamp Pass rewards your customers for repeat visits. This guide walks you through creating a Stamp Pass in Cluby Partner Hub from start to finish — and how to choose the right stamping method for your venue's needs.
Three ways to collect a stamp
A customer can earn a stamp at the till in three different ways. You can use these side by side on the same Stamp Pass.
NFC card — the customer taps their phone on the venue's NFC card. Effortless and fast, doesn't require POS integration.
QR code (POS integration) — the till scans the customer's QR code from the Cluby app. Stamps are verified automatically from the right purchases. Available with the Restolution point-of-sale system.
Rotating numeric code — staff share a code, the customer enters it in the app. No POS integration required.
⚠️ Important: If you want to use NFC cards or Restolution POS integration, they need to be set up FIRST before creating the Stamp Pass. See steps 1 and 2 below.
1. Adding NFC cards (if you're using NFC)
NFC cards are activated and managed under the Action Links section — not from inside the Stamp Pass. Add the cards before creating the pass so you can connect them directly to the pass.
💡 Haven't received your cards yet? Order Cluby NFC cards from the Cluby team — they're delivered straight to your venue. Each card has a unique 4-character code required for activation.
Log in to Partner Hub at partners.cluby.com.
From the left sidebar, go to Action Links.
Open NFC cards — the view says "Manage NFC cards linked to your organisation".
Click + Add NFC card in the top right.
In the Add NFC card dialog, enter the card's 4-character code into the boxes exactly as printed. The code is usually on the back of the card or in a corner.
You can optionally open Advanced settings, but the defaults usually work.
Click Add card. The card is now linked to your organisation.
💡 Multiple cards at once? Use the Bulk create NFC cards button to add several cards in one go.
Once the cards are added, you can link them to a Stamp Pass in step 3.
2. Setting up the Restolution integration (if you're using POS integration)
If you want stamps to come automatically from the Restolution till, you first need to connect Cluby to Restolution. This is set up once, and after that the integration works for all POS-based Stamp Passes.
Connect Restolution
From the left sidebar, go to Settings → Integrations.
Find Restolution in the list and click Connect.
⚠️ Requires: A Restolution till with a QR code scanner and API keys provided by Restolution. Contact Restolution support and ask for the keys for the Cluby integration.
Fill in Restolution settings
After clicking Connect, you'll see the Restolution settings view with three sections:
JSON API key — used to fetch venues, receipts and products from Restolution. Click Add API key and enter the name and secret for the API key provided by Restolution.
POS keys — add all the till keys provided by Restolution, from every venue and till terminal. Click + Add POS key. The names must match the ones defined on the Restolution side.
Venue mappings — link each Restolution business unit to the Cluby venue it represents. Several business units can point to the same Cluby venue (e.g. a chain operating at multiple sites under the same Cluby restaurant).
💡 Tip: Add the API key first — after that you can fetch the business units from Restolution automatically.
3. Create a Stamp Pass
From the left sidebar, go to Stamp Passes. If you don't have any Stamp Passes yet, you'll see the welcome view with "Reward repeat visits with Stamp Passes".
You have two ways to start:
Create new Stamp Pass — best for full control
Define how many stamps unlock the reward yourself. A stamp can be given at the till with an NFC card, a QR code, or a rotating numeric code. Best when you want to build exactly the kind of pass you have in mind.
Activate a campaign 🆕 — easy way to promote Stamp Passes
Launch a ready-made Stamp Pass campaign and get started in minutes. Best when you want pre-built settings and marketing materials.
This guide walks through the Create new Stamp Pass route.
4. Fill in the Stamp Pass basics
Click Create new Stamp Pass.
If you manage multiple venues, select the venues where the pass will be available. If you only have one venue, this option isn't shown.
Enter a name for the Stamp Pass in both Finnish and English. Use a name that's clear to customers, e.g. Lounaspassi / Lunch Pass.
Choose the stamping method: NFC card, QR code (Restolution POS) or Rotating numeric code.
💡 If you choose NFC card or POS integration, make sure you've completed step 1 or 2 first.
5. Set up stamp collection
Decide how many stamps the customer needs to earn the reward.
Enter the number of stamps, e.g. 10 stamps → free lunch.
💡 Good to know about stamp logic: If you set the number of stamps to 10, slots 1–10 on the card are stamps, and slot 10 is both the final stamp and the earned reward (e.g. a free lunch). The setting still means the 11th lunch is free — the customer earns the reward only once all 10 stamps are collected. There's no separate 11th slot shown in the app.
NFC card — additional settings
Select which NFC cards are linked to this Stamp Pass (added in step 1).
POS integration (Restolution) — additional settings
Choose the products that earn a stamp when purchased. Search by product name or product ID.
The customer earns one stamp per qualifying purchase.
⚠️ Note: If stamps aren't being collected, first check that the product IDs are up to date on the Restolution side, and that the integration is connected correctly (step 2).
Rotating numeric code — additional settings
Set a daily stamp limit, e.g. 1 stamp per day.
Optionally enable an automatically rotating activation code:
The code rotates automatically every morning.
Set the email addresses to which the new code is sent daily.
The code only works for that day.
6. Set up the reward
The reward is the benefit the customer earns once they've collected enough stamps.
Write the reward's name and description in Finnish and English.
Add an image of the reward. Recommended size: 1500 × 900 pixels.
POS integration — additionally:
Select the reward product by name or product ID.
Enter the price group ID — usually 1 (the default price list value).
7. Publish the Stamp Pass
Select Save and publish — the Stamp Pass is immediately available to customers in the app.
If you want to publish later, select Hide Stamp Pass from users and save. You can publish at any time afterwards.
8. How a customer collects a stamp
With an NFC card:
The customer unlocks their phone (the Cluby app doesn't need to be open).
The customer taps their phone on the venue's NFC card.
A Cluby NFC pop-up appears on the phone — the customer taps it and the stamp is registered automatically.
With a QR code (POS integration):
The customer opens the Cluby app and selects the Stamp Pass.
The customer taps Collect stamp and shows the QR code to the till's reader.
The system registers the stamp automatically when the purchase meets the Stamp Pass criteria.
With a rotating numeric code:
The customer opens the Cluby app and selects the Stamp Pass.
The customer enters the code shared by staff into the Stamp code field.
The system registers the stamp, as long as the daily stamp limit hasn't been reached.
⚠️ NOTE: If you change the numeric code in Partner Hub, the old code stops working immediately. We recommend rotating the code daily for security.
9. How a customer redeems the reward (e.g. a free lunch)
Once a customer has collected all their stamps, the reward is available to redeem in the Cluby app.
How the reward appears to the customer
Slots 1–10 on the stamp card are stamps. The last slot (10) is both the final stamp and the earned reward (e.g. a gift icon 🎁).
Before all 10 stamps are collected, the reward isn't shown in the app.
Once the final stamp is registered, the customer sees the reward icon activate in the last slot of the card.
Redeeming at the till
The customer opens the Stamp Pass in the Cluby app
Taps the card's last slot (the reward icon)
A redemption view appears at the till — staff verify and confirm
The reward is redeemed, and a new Stamp Pass starts accumulating from the next visit
💡 Tip for staff: when the customer orders e.g. a lunch and shows the redemption view, hand over the free lunch and confirm the redemption from the app. This keeps the customer experience smooth.
10. Adding a stamp manually
If a customer missed a stamp — for example due to a technical glitch or human error — you can add it manually from Partner Hub. We recommend doing this right at the till for the best customer experience.
Log in to Partner Hub.
From the left sidebar, select Members.
Search for the customer by typing their name into the search field.
Click the customer's name — you'll see their membership details, recent activity and active Stamp Passes.
Find the correct Stamp Pass and click Give stamp.
Confirm by clicking Give stamp again.
✅ The stamp updates immediately both in Partner Hub and in the customer's Cluby app.
11. Editing a Stamp Pass afterwards
Go to the Stamp Passes section and select the pass you want to edit.
Click Edit.
Make the changes you need, e.g. add or remove POS products.
Always remember to save and publish your changes.
💡 Tip: You can temporarily hide a Stamp Pass from the app without deleting it. That way the stamps customers have already collected stay safe.
12. Deleting a Stamp Pass
If you no longer need a Stamp Pass, you can delete it permanently from Partner Hub.
Go to the Stamp Passes section.
Find the Stamp Pass you want to delete. You can filter the view from the dropdown (Active / Hidden / All).
Click the three dots ⋮ next to the pass.
Select Delete.
Confirm the deletion.
⚠️ NOTE: Deletion is permanent — the pass and its data can't be recovered. If you only want to temporarily disable the pass, use Hide Stamp Pass from users instead.
