Free events are an easy way to boost your visibility in the Cluby app and reach your members — without selling tickets. Here's how to create one in a few minutes.
Before you start
Have these ready:
A Cluby Partner Hub account with permission to manage the venue
An event cover image — you can either upload your own or pick one directly from the Partner Hub image gallery (16:9 ratio, recommended 1500×900 pixels, max 10 MB)
The event basics: title, description, start and end time
1. Open Events and tickets
From the left sidebar, go to Events and tickets. In the list view, click the Create new event card (with the ⚡ icon).
💡 Your first event? If you don't have any events yet, the Events view shows a welcome screen "Tell your members about your events and sell tickets in advance". Click the Create new event → card.
The event creation opens as a three-step flow: 1. Basics → 2. Tickets → 3. Review.
Step 1: Basics
Fill in the basic details:
Venue — if you manage several venues, choose from the dropdown which venue this event belongs to. If you only have one venue, it's selected automatically.
Event title * — e.g. "Open doors evening"
Description — describe the event for attendees in an engaging way. This appears to customers in the Cluby app.
Start time * and End time *
Event image — 16:9 ratio, max 10 MB. You can either Upload your own image from your computer or use Choose gallery to pick a free stock photo directly from Partner Hub.
Event URL (optional) — a dedicated webpage for the event
Facebook event URL (optional) — a link to the Facebook event
💡 Tip: The image gallery is a quick way to find a great photo for a free event. The search field is filled automatically based on the title — you can refine it to find a better match. For more details: How to add an image from the Partner Hub image gallery
Click Next.
Step 2: Choose "Free event"
Under Event type, select Free event. Entrance and cloakroom prices are not shown, since no tickets are sold for the event in Cluby.
💡 Tip: Even though the event is free, members will see it in the Cluby app and get a push notification about it if you've enabled that. Free events are an excellent way to grow attendance and engage your loyal customers.
Click Next.
Step 3: Review and publish
Take one more look at the event details. Click Publish — the event appears in the Cluby app immediately to all members.
💡 Want to prepare the event and publish it later? Publish it first, then use ⋮ → Hide in the list view to hide the event from customers. When you're ready to go live, use Edit to remove the hidden status.
Managing events in the list view
Once you've created events, you'll see them in the Events and tickets view, grouped into Upcoming and Past. Each row shows:
Cover image, title and description
Time (date + time)
Type — for free events the row says "Free event"
Status — Active / Past / Hidden
Filters and search
The top of the list view has four tools for finding events:
🔍 Search events… — find an event by title
Featured — order the list: Featured (default order) / Upcoming / Past
All statuses — filter by: Active / Sold out / Hidden
All types — filter by: Paid events / Free events (tip: choose Free events to see only the free ones)
Editing an event — the ⋮ menu
Click the ⋮ menu on the right of an event row to see four actions:
✏️ Edit — update the event details, times or image. Changes appear to customers immediately.
📄 Copy — create a copy of the event as a new starting point. Useful for recurring events (e.g. a weekly open doors evening) — you only need to change the date.
👁️ Hide — the event no longer appears to customers in the Cluby app, but stays in your list. Useful when you want to prepare an event in advance or hide it temporarily.
🗑️ Delete — permanently removes the event. Note: this action cannot be undone.
💡 Tip: You can edit event details at any time — also after publishing.
