Three ways to collect a stamp

A customer can earn a stamp at the till in three different ways — and you can combine methods on the same Stamp Pass.

  • NFC card — the customer taps their phone on the venue's NFC card. Effortless and fast, doesn't require POS integration.

  • QR code (POS integration) — the till scans the customer's QR code from the Cluby app. Stamps are verified automatically from the right purchases. Available with the Restolution point-of-sale system.

  • Rotating numeric code — staff share a code, the customer enters it in the app. No POS integration required.

💡 POS integration requires a separate setup. If you want to use Restolution POS integration, go through it first (step 2 below). NFC cards, by contrast, can be added either in advance under Action Links or directly while creating the Stamp Pass.

1. (Optional) Add NFC cards in advance

You can add NFC cards in two ways:

  • In advance under Action Links → NFC cards (described in this step) — the cards are then available to pick from in any Stamp Pass

  • Directly in the Stamp Pass wizard at Step 3 "NFC cards" — the newest and fastest way (described in step 5)

💡 Haven't received your cards yet? Order Cluby NFC cards from the Cluby team — they're delivered straight to your venue. Each card has a unique 4-character code required for activation.

Action Links flow:

  1. Log in to Partner Hub at partners.cluby.com.

  2. From the left sidebar, go to Action Links.

  3. Open NFC cards — the view says "Manage NFC cards linked to your organisation".

  4. Click + Add NFC card in the top right.

  5. Enter the card's 4-character code into the boxes. The code is usually on the back of the card or in a corner.

  6. Click Add card. The card is now linked to your organisation.

💡 Several cards at once? Use the Bulk create NFC cards button to add several cards in one go.

2. (POS flow only) Setting up the Restolution integration

If you want stamps to come automatically from the Restolution till, you first need to connect Cluby to Restolution. This is set up once, and after that the integration works for all POS-based Stamp Passes.

Connect Restolution

  1. From the left sidebar, go to Settings → Integrations.

  2. Find Restolution in the list and click Connect.

⚠️ Requires: A Restolution till with a QR code scanner and API keys provided by Restolution. Contact Restolution support and ask for the keys for the Cluby integration.

Fill in Restolution settings

After clicking Connect, you'll see the Restolution settings view with three sections:

  1. JSON API key — used to fetch venues and products from Restolution. Click Add API key and enter the name and secret for the API key provided by Restolution.

  2. POS keys — add all the till keys provided by Restolution, from every venue and till terminal. The names must match the ones defined on the Restolution side.

  3. Venue mappings — link each Restolution business unit to the Cluby venue it represents.

💡 Tip: Add the API key first — after that you can fetch the business units from Restolution automatically.

3. Create a Stamp Pass

From the left sidebar, go to Stamp Cards. If you don't have any Stamp Passes yet, you'll see the welcome view with "Reward repeat visits with one or several rewards".

You have three ways to start:

Create new stamp card — best for full control

Define how many stamps unlock the reward, which rewards are given along the way, and at which stages. Best when you want to build exactly the kind of Stamp Pass you have in mind.

Create from template — fastest way to get started

Pick a ready-made Stamp Pass template and adapt it to your venue. Saves time when the structure is already in place.

Activate a campaign — easy way to promote Stamp Passes

Launch a ready-made Stamp Pass campaign and get started in minutes. Best when you want pre-built settings and marketing materials.

This guide walks through the Create new stamp card route. The wizard has five steps: 1. Basics → 2. Activation → 3. Stamps & rewards → 4. Limits → 5. Review.

4. Step 1: Basics

  1. Click Create new stamp card.

  2. Enter a name for the Stamp Pass in both Finnish and English. Use a name that's clear to customers, e.g. Lounaspassi / Lunch Pass. You can add more languages via the + Add Language button.

  3. If you manage several venues, select the venues where the pass will be available. If you only have one venue, this option isn't shown.

Click Next.

5. Step 2: Activation

Choose one or more ways for the customer to earn a stamp. You can combine methods — e.g. both an NFC card and an activation code on the same pass.

  • ☑ Activation code"Customers enter a code in the app to collect a stamp." The simplest way to get started without extra hardware.

  • ☑ Smart Cards (NFC cards) — "Optional. Customers tap a Smart Card at the venue instead of typing the code." In this same step you can add NFC cards directly to this Stamp Pass (see below).

  • ☑ Automatic via POS"Requires the Restolution POS integration. Enable it in Integrations."

Adding NFC cards in the Activation step

When you select Smart Cards, a card management tool opens in the view:

  1. Add a new card: click + Add card, enter the 4-character code and click Add card — the card activates and is linked to this Stamp Pass automatically.

  2. Select from existing: click Select from unlinked NFC cards and pick cards that have already been added under Action Links.

💡 Tip: You can skip adding NFC cards and add them later by editing the Stamp Pass.

Click Next.

6. Step 3: Stamps & rewards

Define how many stamps fill the card and what rewards the customer earns along the way.

Number of stamps

At the top of the view there's a stamp selector with buttons 1–10 as well as + and . Click + as many times as you need to reach the desired number (e.g. 10 stamps).

Rewards per stamp — you can give several rewards along the way

Click any stamp number (e.g. 3, 5 or 10) → a Reward section opens below it saying "This stamp gives the following reward to the customer". Activate the reward — it appears as a 🎁 icon on the stamp selector.

For every stamp with a reward, fill in:

  • Image — upload your own image (16:9 recommended, max 10 MB) or pick a free stock photo from the gallery (Choose from gallery → Unsplash search terms)

  • Reward name — in Finnish and English (e.g. "Ilmainen kahvi / Free coffee")

  • Description — an optional caption shown to the customer at redemption

💡 Several rewards on the same card: 5 stamps = free coffee, 10 stamps = free lunch. That way the customer has two staggered rewards inside the same card.

Click Next.

7. Step 4: Limits

This step defines how quickly stamps can be collected and how long the card and rewards stay valid.

  • Daily stamp limit — how many stamps one customer can collect on this card per day (per the venue's calendar day). Applies to both the activation code and Smart Card taps. Usually 1.

  • Time to fill the card — how long the customer has to fill the card starting from their first stamp. If the time runs out before the card is full, the card resets. Default 12 months. One month = 30 days.

  • Time to use a reward — how long an earned reward can be redeemed. Expires after this time. Default 12 months

Click Next.

8. Step 5: Review

The Review view gathers all your settings before saving:

  • Name and venue

  • Stamp visualisation — every stamp and its reward with icons

  • Rewards — a list of rewards with images and names

  • Activation — the selected stamping methods

  • Limits — daily limit, time to fill the card, reward expiry

Check the details and click Create card — the Stamp Pass is saved and immediately available to customers. You can hide the pass later via the ⋮ menu if you like.

9. How a customer collects a stamp

With an activation code:

  1. The customer opens the Cluby app and selects the Stamp Pass.

  2. The customer enters the code shared by staff into the Stamp code field.

  3. The system registers the stamp, as long as the daily stamp limit hasn't been reached.

With an NFC card:

  1. The customer unlocks their phone (the Cluby app doesn't need to be open).

  2. The customer taps their phone on the venue's NFC card.

  3. The stamp registers:

    • On iPhone: a Cluby NFC pop-up appears, which the customer taps

    • On Android: the stamp registers automatically without a separate pop-up

Automatic via POS integration:

  1. The customer opens the Cluby app and selects the Stamp Pass.

  2. The customer taps the stamp card and shows the QR code to the till reader.

  3. The system registers the stamp automatically when the purchase meets the Stamp Pass criteria.

⚠️ NOTE: If you change the activation code in Partner Hub, the old code stops working immediately. We recommend using the automatically rotating code for security.

10. How a customer redeems the reward

Once a customer has collected the stamps required for the reward, the reward is available to redeem in the Cluby app.

How the reward appears to the customer

  • The stamp that carries a reward is marked on the card with a 🎁 icon

  • Until that stamp has been collected, the reward isn't shown as redeemable

  • Several rewards: if the card has, say, rewards at stamps 5 and 10, the customer can redeem the first reward part-way through the card

Redeeming at the till

  1. The customer opens the Stamp Pass in the Cluby app

  2. Taps the stamp that carries the reward (🎁 icon)

  3. A redemption view appears at the till — staff verify and confirm

  4. The reward is redeemed. New stamps continue to accumulate on the same card until it is full.

11. Managing Stamp Passes in the list view

In the Stamp Passes view you can see all your Stamp Passes at a glance. At the top there's a search field and two filters:

  • 🔍 Search Stamp Passes

  • All activation types — filter by stamping method (NFC / QR / numeric code)

  • All statuses — Active / Disabled

For each Stamp Pass, the row shows:

  • Name + number of rewards and stamps

  • Activation — e.g. numeric code "0301" (click 🔄 New code to change it) or activation method

  • Members — how many members are collecting stamps

  • Earned — how many stamps have been given in total

  • Redeemed — how many rewards have been redeemed

  • Venues — which venues the Stamp Pass is in use at

  • Status — Active / Disabled

12. Adding a stamp manually

If a customer missed a stamp — for example due to a technical glitch — you can add it manually from Partner Hub. We recommend doing this right at the till for the best customer experience.

  1. Log in to Partner Hub.

  2. From the left sidebar, select Members.

  3. Search for the customer by name and click their profile.

  4. Find the Stamp cards section and click Give stamp.

  5. Confirm.

13. Editing and deleting a Stamp Pass

In the Stamp Passes view, click the menu on the right of a row:

  • ✏️ Edit — update details, image or POS products

  • 📄 Copy — create a copy as a starting point for a new pass

  • 👁️ Hide — the pass no longer appears to customers but is preserved

  • 🗑️ Delete — removes the pass permanently (customers' collected stamps are lost)

💡 Tip: Prefer Hide over Delete — a hidden Stamp Pass keeps its history and statistics.
