Creating a Stamp Pass with NFC cards — a guide for restaurants

How to create a digital Stamp Pass in Cluby Partner Hub using only an NFC card — an effortless loyalty reward without POS integration.

This guide covers creating a Stamp Pass from start to finish using an NFC card — the simplest way to reward your loyalty customers for repeat visits. The customer earns a stamp by tapping their phone on the venue's NFC card. No POS integration, no number codes, no manual work.

Why choose an NFC card?

  • One tap = one stamp — the customer holds their phone against the card and the stamp registers automatically

  • No POS integration — works without connecting to the till

  • No staff work — no need for codes or manual entry at the till

  • Hard to misuse — the card is physically at the venue, so customers earn stamps only by visiting in person

Before you start

You'll need:

  • Cluby NFC cards — order from the Cluby team, delivered straight to your venue. Every card has a unique 4-character code.

  • Cluby Partner Hub permissions — Admin or Organisation admin

  • An idea for the Stamp Pass — which product, how many stamps, what reward (e.g. 10 lunches = the 11th free)

1. Open Stamp Passes in Partner Hub

  1. From the left sidebar, go to Stamp Passes

  2. Click Create new stamp pass

The wizard has five steps: 1. Basics → 2. Activation → 3. Stamps & rewards → 4. Limits → 5. Review.

2. Step 1: Basics

  1. Enter a name for the Stamp Pass in both Finnish and English (e.g. Lounaspassi / Lunch Pass). You can add more languages via the + Add Language button.

  2. If you manage several venues, select the venues where the pass will be available.

Click Next.

3. Step 2: Activation — pick Smart Cards

The Activation step has three checkboxes. For an NFC-only flow, do the following:

  1. Tick ☑ Smart Cards (NFC cards). A card management tool opens in the view.

  2. Optionally also tick ☑ Activation code — this lets customers collect a stamp either via NFC or with a numeric code. Recommended as a fallback in case NFC doesn't work on some phones.

  3. Leave ☐ Automatic via POS unticked if you're not using Restolution.

Adding NFC cards

  1. Click + Add card

  2. The Add NFC card dialog opens, with four boxes for entering the code

  3. Pick up the NFC card you received from Cluby — look for the 4-character code on the back of the card or in a corner

  4. Enter the code into the boxes exactly as it's printed

  5. Click Add card — the card activates and is linked to this Stamp Pass automatically

  6. Repeat for each card (if you received several)

💡 Several cards at the same venue? You can link multiple NFC cards to the same Stamp Pass — e.g. one at the till and another carried by a server, or across different till stations. Customers can use any of them.

Click Next.

4. Step 3: Stamps & rewards

Define the number of stamps and the reward (or several).

Number of stamps

At the top of the view there's a stamp selector — click + to add stamps and to remove them. For example, 10 stamps fills the card.

Reward

Click the stamp number you want (e.g. 10) → a Reward section opens below it saying "This stamp gives the following reward to the customer". Activate the reward and fill in:

  • Image — upload your own (16:9 recommended) or select Choose from gallery and search Unsplash (e.g. "lunch", "coffee")

  • Reward name in Finnish and English (e.g. "Ilmainen lounas / Free lunch")

  • Description (optional) — shown to the customer at redemption

💡 Several rewards on the same card: you can add rewards at intermediate stamps as well — e.g. stamp 5 = free coffee, stamp 10 = free lunch. Just click both stamps and activate the reward on each.

Click Next.

5. Step 4: Limits

Adjust how quickly stamps can be collected and how long everything stays valid:

  • Daily stamp limit — usually 1 stamp per day (prevents a single customer from collecting several stamps on the same day)

  • Time to fill the card — default 12 months from the first stamp

  • Time to use a reward — default 12 months from being earned

💡 The What this means box shows a plain-language description of your choices. This lets you see immediately what the customer will experience.

Click Next.

6. Step 5: Review and publish

The Review view shows the Stamp Pass name, venues, stamp and reward structure, activation method (NFC cards) and limits. Check the details.

  • Click Create card — the Stamp Pass is saved and immediately available to customers in the Cluby app

  • If you want to hide the card before launch, you can do that after creation via the ⋮ menu

7. Place the NFC card at the till or with staff

The NFC card should be either at the till or carried by staff — not left freely accessible to customers. This way stamping happens as part of a natural interaction with staff and the risk of misuse is reduced.

Two options that work:

  • 🧾 At the till — the card sits on the counter next to the till. Customers see the card when paying and staff can guide them if needed.

  • 👤 With staff — a server or till attendant keeps the card with them.

8. Test that everything works

  1. Open the Cluby app on your own phone and make sure you're signed in

  2. Touch the back of your phone against the NFC card

  3. The stamp registers:

    • On iPhone a Cluby NFC pop-up appears — tap it and the stamp registers automatically

    • On Android the stamp registers automatically without a separate pop-up

⚠️ If nothing happens, check that NFC is turned on in your phone's settings and that you're signed in to the Cluby app.

How the customer uses the NFC Stamp Pass

The customer experience is simple:

  1. The customer unlocks their phone (the Cluby app doesn't need to be open)

  2. They tap their phone on the NFC card — either at the till or on the card staff are carrying

  3. The stamp registers:

    • On iPhone: a Cluby NFC pop-up appears, which the customer taps

    • On Android: the stamp registers automatically without a separate window

  4. The customer sees their balance grow in the app immediately

Once the customer has collected enough stamps, the reward becomes available for them to redeem at the till.

Troubleshooting from the restaurant's side

A customer says the stamp didn't register

  • Ask the customer to check that NFC is turned on in their phone's settings (Android) or that their phone is recent enough (iPhone 7+)

  • Check that they're signed in to the Cluby app

  • If needed, add the stamp manually from Partner Hub — see: Adding a missing stamp manually

The NFC card is lost or broken

Order a new card from the Cluby team. If you want, you can remove the old card from Partner Hub (Action Links → NFC cards → ⋯ → Delete) so its code can no longer be used.

Adding NFC cards later

You can add new NFC cards to the same Stamp Pass at any time:

  1. Go to the Stamp Passes view

  2. Click the Stamp Pass row's menu → Edit details

  3. Go to step 2. Activation

  4. Under the NFC cards section, click + Add card and enter the new card's code

  5. Save
