Setting up the EmailOctopus integration in Cluby Partner Hub

Connect EmailOctopus to Cluby Partner Hub and send newsletters straight from your member register — no manual CSV export required.

EmailOctopus is an affordable email marketing tool you can connect directly to Cluby Partner Hub. Once connected, your member list and venue-specific member card fields sync automatically to EmailOctopus — so you can use this data in targeted segments and automations.

Before you start

You'll need:

  • An EmailOctopus account — create a free account at emailoctopus.com

  • Admin or Organisation admin permissions in Cluby Partner Hub

1. Create an account and an API key in EmailOctopus

  1. Go to emailoctopus.com and create an account (or sign in if you already have one)

  2. Go to your account settings and create a secret API key

  3. Copy the API key somewhere safe — you'll need it in the next step

⚠️ Note: EmailOctopus usually shows the API key only once. Save it carefully, because if you lose it you'll need to create a new one.

2. Connect EmailOctopus in Cluby Partner Hub

  1. Log in to Cluby Partner Hub at partners.cluby.com

  2. From the left sidebar, go to Settings → Integrations

  3. Find EmailOctopus in the list and click Connect next to it

  4. The Send newsletters with EmailOctopus dialog opens, with three guided steps:

    1. Create an account with EmailOctopus

    2. Create an API key

    3. Paste the API key — copy the key from EmailOctopus and paste it into the API key field

  5. Click Connect EmailOctopus

⚠️ Important: Don't delete the API key from EmailOctopus after connecting — the connection will stop working immediately.

3. Syncing starts automatically

Once the connection is set up, your members' data transfers to EmailOctopus automatically:

  • Member list — email addresses and basic details

  • Venue-specific member card fields — e.g. VIP, loyalty or staff card details

New members are transferred to EmailOctopus as soon as they sign up as your loyalty members.

⚠️ GDPR note: Cluby only transfers data for members who have given consent to marketing communication.

4. Start sending newsletters

Head to EmailOctopus and create your first campaign. Using the synced member card fields, you can target messages to e.g. VIP members only or customers of a specific venue.

  1. In EmailOctopus, go to CampaignsCreate campaign

  2. Design the newsletter (drag & drop editor)

  3. Choose your Cluby members list as the recipient — you can filter with segments for targeted sends

  4. Preview and send

Disconnecting the integration

If you want to remove the integration, go to Settings → Integrations → EmailOctopus and disconnect. After that, member data will no longer sync — but the contacts already transferred will remain in EmailOctopus.

Troubleshooting

  • "API key isn't working" — check that you copied the key in full, with no extra spaces. The API key format is usually something like xx012345-xx01-0xx0-x00x-xx0123xx0123.

  • The connection stopped working suddenly — the API key has most likely been deleted from EmailOctopus. Create a new key and reconnect.

  • Members don't appear in EmailOctopus — make sure your members have given consent to marketing communication. Only members who've opted in are synced.

  • EmailOctopus is asking for payment — the free tier covers 2,500 members and 10,000 messages per month. Above that you'll need a paid plan.
