How to view and manage your loyalty member register

What data the Members view shows in Cluby Partner Hub, and how to give a member a card, stamp or free ticket directly from the member view.

In the Members view you can see all your loyalty members in one place and look up an individual member's activity. In this guide you'll learn:

  • What data is shown about your members

  • How to search and filter members

  • How to open the individual member view

  • How to give a member a member card, stamp or event ticket, or add them as a member of another one of your venues

Open Members

Log in to Cluby Partner Hub and select Members from the left sidebar.

List view β€” overview

The Members view is made up of three parts: statistics at the top, search and filters in the middle, and the member list below.

Statistics at the top

Three cards show your most important member numbers at a glance:

  • Members β€” the total number of loyalty members you have

  • New members β€” those who joined in the last 30 days

  • Staff β€” holders of your staff card (card name and number of members)

Download email addresses (CSV)

In the top right of the view you'll find the Download member email addresses (CSV) button. This downloads the addresses of all members who have given marketing consent as a CSV file, ready to import into an external email tool.

Search and filters

The list view has five tools for finding members:

  • πŸ” Search members… β€” search by name, email or phone number

  • All genders β€” filter by gender

  • All age groups β€” filter by age

  • All member cards β€” filter by which member card the customer holds

  • All Stamp Passes β€” filter by which Stamp Pass the customer is using

πŸ’‘ Tip: You can combine filters β€” e.g. women aged 25–34 with an active lunch pass is a great target group for push notifications.

Columns in the member list

For each member, the row shows:

  • Name β€” click the name to open the individual member view

  • Benefits β€” the total number of member benefits redeemed

  • Stamps β€” stamps collected across all your Stamp Passes

  • Events β€” how many of your events the member has attended

  • Cluby purchases β€” total euro value of the member's Cluby purchases (e.g. event tickets and cards)

  • Member since β€” the date the member joined as your loyalty member

Individual member view

Click a member's name in the list to open their profile. The profile view shows you all of the member's activity and lets you carry out manual actions like giving a card, a stamp or a ticket.

Profile details at the top

  • Name and profile picture

  • Email address β€” Cluby anonymises contact details in Partner Hub for GDPR reasons, so you see the address in the format xxxxxx@cluby.email. You can still message the member via the Cluby app and push notifications.

  • πŸŽ‚ Birthday and age

  • Last seen β€” when the member was last active in the Cluby app

4 metric cards

Just below the profile header you'll see the member's key numbers:

  • Cluby purchases β€” total euro value of what the member has bought from you on Cluby

  • Benefit redemptions β€” how many of your member benefits they've redeemed

  • Stamps received β€” total stamps collected across Stamp Passes

  • Tickets purchased β€” number of ticket purchases

Memberships

A list of the venues the member belongs to, along with the date they joined each one.

  • + Add as a member β€” if you manage several venues, you can add the member to another venue in your organisation

  • πŸ—‘οΈ Trash icon β€” removes the membership from a specific venue

Recent activity

A chronological list of all the member's activity on Cluby. The filter at the top lets you narrow the view by type:

  • All

  • Venue memberships β€” joinings

  • Member cards

  • Member benefits

  • Stamp cards

  • Events & tickets

  • Rewards

At the bottom of the profile you'll see separate sections for each. Each section shows what's already been given or redeemed, with a button to give something new.

Give a card, stamp or ticket directly from the profile

From a member's profile, you can give them a member card, a stamp or a free event ticket. Useful when you want to fix an issue (e.g. a missing stamp), reward a VIP customer or run a special campaign.

🎟️ Give card

Open the Member cards section in the member's profile and click Give card. You can give any of the card types you've created:

  • Given card β€” usually a VIP, staff or partner card

  • Purchasable card β€” e.g. handing over a season card as a gift

  • Recurring subscription card β€” you can activate a subscription card without payment too, for example as a trial

Open the Stamp cards section in the member's profile and click Give stamp. This adds one stamp to the selected Stamp Pass β€” useful when, for example, an NFC or QR tap didn't go through at the till.

🎫 Give ticket

Open the Events & tickets section in the member's profile and click Give ticket. The Give ticket dialog opens:

  1. From the dropdown, choose the event you want to give a ticket to

  2. Click Give ticket

This gives the member one free entrance ticket to the selected event β€” no cloakroom, no payment.

πŸ’‘ Good use case: compensate a customer whose event was cancelled with a ticket to a new event, or reward a loyal customer with free entry to a special event.

βž• Add as a member of another venue

If you manage several venues under the same organisation, you can add the same member as a loyalty member of another venue too.

  1. Open the Memberships section in the member's profile

  2. Click + Add as a member

  3. Choose the venue you want to add the member to

  4. Confirm β€” the member immediately sees the new venue's member benefits, Stamp Passes and member cards in their Cluby app

Privacy and member data

Cluby protects the privacy of loyalty members in Partner Hub:

  • Email addresses are anonymised β€” you see addresses in the format xxxxxx@cluby.email. This protects your member from direct marketing and ensures email reaches them only via Cluby.

  • You don't see the phone number or real email address in Partner Hub.

  • You can message the member through push notifications in the Cluby app and via the EmailOctopus / CSV integrations to your email marketing tool (only members who have given marketing consent).

⚠️ GDPR note: The manual actions (Give card, Give stamp, Give ticket) are intended for rewarding members and fixing issues β€” don't add members who haven't expressed an interest in being your loyalty member.
